A lightweight ERP for a coffee company

The problem
Hundreds of products — drinks, pastries, bags of beans, gift baskets — many built from complex, multi-layered recipes, and no organized way to set margins across them. Pricing lived in spreadsheets that took days to update, so when milk or beans went up, prices lagged behind and nobody could say what was actually profitable.
What we built
A web app that breaks every recipe down to its ingredients and prices each item live from what goes into it. When a cost changes, everything that uses it reprices on the spot, with margins held where they set them. Profit and loss is reported live, down to each event, straight from the register export — and the system keeps growing as they add new products and reports.

A vanilla latte is the latte base plus syrup, and the gift basket holds a bag of beans, so a price change reaches everything that uses it.

A recipe and menu system for a cocktail caterer

The problem
More than a hundred recipes, constantly shifting, with new ones arriving every season. Every recipe and menu was entered by hand, menus only existed as printouts, and there was no version history, no live editing, and no easy way to price a drink.
What we built
A web app that keeps every recipe in one place with live costing, so each drink is priced from its ingredients. Menus are built from the recipe library, versioned, and published online behind a password — edit once and every menu updates. At events, bartenders track orders as they come in — who ordered what, with any special requests — while the system records sales and peak times for each event. An 86'd list pulls a drink the moment an ingredient runs out.

Questions

Why not just buy off-the-shelf software?
Often you should, and we'll tell you when. Off-the-shelf tools serve a broad market, so they rarely fit the specifics of how you work, and if a vendor changes course or shuts down, your business goes with it. Custom software makes sense when your process is what sets you apart, or when you've outgrown every tool you've tried.
I'm not sure whether I need custom software, an integration, or neither.
That's what the consultation is for. If the answer isn't obvious, the Systems Modernization Audit exists for exactly this. We agree on the systems to review, deliverables, and delivery schedule before you sign, then give you specific recommendations: fix what you have, buy the right tool, or build something new.
How is the work priced?
On the value it returns to the business, not on hours. Every project is scoped and quoted before it begins, and we only propose work we expect to pay for itself.
Are there monthly costs after the build?
Running software costs money: servers, databases, third-party services, AI usage. If we host it, one monthly fee covers those costs plus monitoring, security updates, and bug fixes. New features are quoted separately.
What if you go out of business?
Everything we build is documented for users and for developers, with a handoff plan, so any competent developer can pick it up. We also work with developers we trust to take over ongoing care if we ever can't.
Do you help us move over to the new system?
Yes. We move your existing data, however messy, and train your team on the new system. You shouldn't have to do the migration yourself.
Can you train new hires later on?
Yes. Training is available on its own whenever your team changes. Reach out and we'll figure out what makes sense.
